Money Laundering Regulations

  1. The solicitors’ profession is now subject to the Government’s Money Laundering Regulations and accordingly we are required, at the time of receiving instructions from any new client of the firm, to verify their identity and to obtain evidence of residence at the address that we are given for that client.  Accordingly, we should be grateful if you would provide us with one document from List A and two items from list B in order to comply with our responsibilities.
  2. We also have to re-confirm the identity of existing clients from time to time.
  3. We will need to see the originals of those documents – we will take copies and return the originals to you. 

List A

Passport, Driving Licence, Pension Book/Child Benefit Book, ID Card, Employers ID Card, Travel Pass, Building Society Passbook, Credit Reference Agency Search, National Insurance ID Card, Independent Bank/Professional Adviser Confirmation, Credit Reference.


List B

Gas Bill, Electricity Bill, Telephone Bill, Mortgage Statement, Council Tax Bill, Bank/Building Society/Credit Card Statement, Voters Roll, Telephone Directory.

Items from List B must not be more than 3 months old

    • It may be necessary from time to time to seek a personal search from a credit reference agency.  By accepting these Terms and Condition of Business you are agreeing to allow this firm to make such a search.
    • We subscribe to Creditsafe UK who undertake electronic identification checks on our behalf.  There may be a fee for such searches, and these will be charged to your account as a disbursement.
    • If you are a company director, by giving us instructions you are also providing us with the authority to search, from time to time, not only details about yourself, but also your fellow directors, shareholders and (where appropriate) the ultimate beneficial owners of the company.
    • The information supplied will, of course, be treated in the strictest confidence.
    • If we are acting in your purchase for you and your mortgage lender we have a duty to fully reveal to them all relevant facts about the purchase and mortgage.
    • This might include differences between your mortgage application and information we receive during the transaction or any cashback payments or discount schemes that a seller is giving you.

    Any personal data transmitted through our site may be stored on our databases.

    Email Policy

     

    In common with the majority of modern businesses, we use email as a method of communication.  It is important that we set out our policy, so that you understand what our obligations are to you.

     

    If you send us an email, we will treat it in the same way that we would treat a letter arriving in the post, a fax or a telephone message.  This means that your message will not receive priority treatment, as this would be unfair on other clients.  There may be times when sending an email is actually less convenient than phoning or sending a letter, especially if we are away from our desks or don’t check our emails regularly.

     

    Just because you send an email, this is no guarantee that it is received by us.  Even the most sophisticated of technology is open to failure, so if you need to know that your email has arrived, please ask for a ‘read’ or ‘delivery receipt’.  Alternatively, we will acknowledge receipt if you specifically ask us to.

     

    If you send us a multi-page document, please try and send it as one complete document rather than a series of one page documents, which takes us much longer to open and print.   If you send us something by email and you are sure that we have received it, you don’t need to send copies of it in the post or by fax (and vice versa) as this is a waste of paper. 

    Emails sent by us are confidential and may be covered by legal professional privilege.  They must not be read, copied or disclosed or used by any person other than the named addressee.  Unauthorised use, disclosure or copying is not allowed and may even be unlawful. If you receive a message in error from us at any time please let us know immediately.

     

    We monitor all incoming e-mails.  If you send us e-mails you are consenting to such monitoring and the consequent collection by us of personal data which is contained within e-mails passing between us.

     

    Although we take steps to ensure that e-mails and attachments sent by us are free from any virus, in keeping with good computing practice you should ensure they are actually virus free.
